# Configuring the Identify Impacted Materials Action (QMS)

Veeva QMS allows you to configure an action to simplify the identification of downstream materials impacted by a change control. When the _Identify Impacted Materials_ action runs on a _Change Control_ record, Vault creates _Downstream Change Control Material_ and _Regulatory Change Item_ records for impacted materials and products, and relates the created records to the _Change Control_. This allows users to easily view and manage impacted materials directly from a _Change Control_, eliminating the time-consuming process of manually identifying downstream materials impacted by a change control.

The _Identify Impacted Materials_ action is supported for the standalone _Change Control_ object and the _Change Control_ object type of the _Quality Event_ object.

Adopting this feature automates _Regulatory Change Item_ creation. For Vaults using the Quality-RIM Connection, this may result in increased data transfer from your Quality Vault to your RIM Vault.

## Configuration Overview

To configure impacted material identification, complete the following steps:

1. [Configure][1] objects for use with the _Identify Impacted Materials_ action.
2. [Configure][2] the _Identify Impacted Materials_ action on a state in the _Change Control Lifecycle_ or on a system action step in a _Change Control_ workflow.
3. [Configure][3] user permissions.

## Configuring Objects {#objects}

### Configuring the Downstream Change Control Material Object

To configure the _Downstream Change Control Material_ object:

1. Activate the _Downstream Change Control Material_ object.
2. Activate the _Change Control_ or _Quality Event_ field, depending on if you use a standalone _Change Control_ or _Change Control_ object type of the _Quality Event_ object.
3. Add the following fields to the layout:
    * _Change Control_ (or _Quality Event_ if your Vault uses the _Change Control_ object type of the _Quality Event_ object)
    * _Material_
    * _Material Type_
    * _Product_
    * _Product Family_
    * _Product Variant_

### Configuring the Regulatory Change Item Object

To configure the _Regulatory Change Item_ object:

* Ensure the _Material_ field and _Material Change_ object type are active.
* Add the following fields to the layout for the appropriate object type:
    * _Material_
    * _Product_
    * _Product Family_
    * _Product Variant_

### Configuring the Change Control Object

To configure the _Change Control_ object:

1. Ensure a related object section for the _Change Control - Material_ object is present on the layouts for the relevant object types.
2. Add a related object section to the appropriate object layouts for the _Downstream Change Control Material_ object and set the following fields as default columns:
    * _Material_
    * _Material Type_ 
    * _Product_
    * _Product Family_
    * _Product Variant_
    * _Regulatory Change Item_
3. Add a related object section to the appropriate object layouts for the _Regulatory Change Item_ object and set the following fields as default columns:
    * _Material_
    * _Product_
    * _Product Family_
    * _Product Variant_
    * _Regulatory Change Item Type_
4. Add the _Identify Impacted Materials_ action to the _Change Control_ object. This step is only necessary if you plan to configure the action as a user action.

### Configuring the Material Object

To configure the _Material_ object, ensure that related object sections for the _Related Material_ and _Material - Product_ objects are present on the layout for each relevant _Material_ object type.

* **Related Material**: This object relates a primary material (for instance, a _Raw Material_) to a downstream material (for instance, an _Intermediate Material_).
* **Material - Product**: This object relates a _Material_ (for instance, a _Finished Material_) to a _Product_.

## Configuring the Identify Impacted Materials Action {#action}

You can configure the _Identify Impacted Materials_ action as an entry action or user action on a state in the _Change Control Lifecycle_, or as a system action step in a _Change Control_ workflow. When configuring the action, you can specify the _Material_ object types for which Vault creates _Regulatory Change Item_ records. A typical configuration may narrow the scope of _Regulatory Change Items_ to the _Finished Material_ object type, but this may vary depending on your business processes.

If configuring the action as an entry or user action for the _Quality Event_ object, add a condition to ensure the entry action only executes, or the user action only displays, if the _Quality Event_ record is of the _Change Control_ type.

## Configuring User Permissions {#permissions}

To run the _Identify Impacted Materials_ action, users must have a security profile with a permission set that grants _Execute_ permission for the _Identify Impacted Materials_ action on the _Change Control_ object.

To manage _Downstream Change Control Material_ and _Regulatory Change Item_ records created by the action, Change Control Owners must have _Read_, _Create_, and _Delete_ permissions for the _Downstream Change Control Material_ and _Regulatory Change Item_ objects.
