# Supplemental Materials

Supplemental Materials are training-optional documents a Training Admin includes in a _Vault Document Training Requirement_ to provide context or a reference to Learners while they complete assignments for training-required materials, such as SOPs.

For example, an SOP references a job manual with 90 pages of step-by-step instructions for that particular process. A Training Admin creates a _Vault Document Training Requirement_, adding the SOP as [Training Material][3] and the manual as Supplemental Material. When Learners complete the SOP's related assignment, the manual is optionally accessible directly from the assignment. This assists the Learner in completing the assignment, and increases their awareness that there is a manual available for reference when following the SOP in their day-to-day work.

## About Supplemental Materials {#about-supplemental-materials}

When a Training Admin adds a document from the Library to a [_Vault Document Training Requirement_](/en/lr/60096/) as a Supplemental Material, Vault creates a _Supplemental TCS-Document_ record and populates it in the _Supplemental Training Content Set_ field on the requirement. When a Learner accesses a related assignment, Vault references this record to display the materials.

Note: To prevent Learners from viewing outdated or unreleased documents, Supplemental Materials are only visible in the assignment while in the Ready for Training or Steady state.

### Training Material Comparison {#training-material-comparison}

Supplemental Materials are always "live", in that the documents a Learner sees at the time of viewing a _Training Assignment_ reflects the eligible materials currently configured on the requirement. This is different from required Training Materials, a static group of version- and state-specific documents collected in a _Training Content Set_.

This means:

* A _Training Assignment_ of any status (open, closed, cancelled) includes the currently-configured materials, even if that assignment was completed before the configured materials were created in the Library.
    * Open _Training Assignments_ are updated immediately upon adding, updating, or removing a Supplemental Material. This feature does not rely upon the _Update Training Assignments_ job to deliver different documents or document versions to new and in-progress assignments.
* Learners are not automatically granted _View Document_ and _View Content_ permissions to Supplemental Materials included in an assignment. Your Vault's security configuration must separately grant access to these materials in the Ready for Training and Steady states.
* Learners are able to complete the assignment task (enter their electronic signature) without clicking on or viewing Supplemental Materials.
* Updates to documents identified as Supplemental Materials for a given requirement:
  * Do not trigger _Training Requirement Impact Assessments_. Training Admins should review Supplemental Materials when assessing impact for the required Training Materials.
  * Cannot be used to grant [Document Participant Credit](/en/lr/829556/).

## Configuring Supplemental Materials {#configuring-supplemental-materials}

Supplemental Materials are training-optional documents for which your organization does not collect training data for individual document versions. See [About Supplemental Materials][2] for more considerations when including them in your training matrix.

To configure Supplemental Materials:

  1. Within the _Vault Document Training Requirement_ object page layout, create a new "Supplemental Materials" section using the section type of the same name. Optionally, add the _Supplemental Training Content Set_ field to the layout for Training Admin visibility.
  2. Review your Vault's security configuration to ensure Training Admins and Learners are assigned the appropriate [permissions][5] to work with this feature.

Once configured, a Training Admin can add up to 50 Supplemental Materials to [_Vault Document Training Requirement_](/en/lr/60096/) records.

## Limitations {#limitations}

Training Admins can add up to 50 Supplemental Materials to a single _Vault Document Training Requirement_. Due to a known issue, [Learners](/en/lr/54488/#about-supplemental-materials) may only be able to view 25 at a time depending on their browser's window size and zoom settings.

Supplemental Materials can only be added to via the Vault UI; _Supplemental TCS-Document_ object record migration is not supported.

See also [Training Material Comparison][3] for details on how optional Supplemental Materials are different from required Training Materials.

## Related Permissions {#permissions}

To work with a requirement's Supplemental Materials, Training Admins must be assigned a permission set with *Read*, *Edit*, *Create*, and *Delete* permission for the *Training Content Set* and *Supplemental TCS-Document* objects.

To view an assignment's Supplemental Materials, Learners must be assigned a document lifecycle role which permits them *View Document* and *View Content* permission for all Ready for Training and/or Steady state materials.
