Veeva Quality Vaults provide a robust data model and functionality to manage information and processes involving the external partners your organization works with. If your organization does not need to differentiate between different types of external organizations your organization works with, you can use the Organization object to manage information about an organization’s qualification status, external contacts, and more. However, if you must differentiate between different types of external partner organizations, or your organization’s configuration is robust enough that you are approaching the limit for the total number of inbound or outbound relationships to the Organization object, instead of creating multiple object types on the Organization object, you can use the extended organization data model to manage this information and any associated processes. Organization Objects

The following objects are part of the extended organization data model, and are integrated in key features, such as External Response Collaboration, that help you to manage the organizations you work with:

  • Health Authority
  • Hospital
  • Hospital Location
  • Organization
  • Organization Location
  • Third Party

On the Organization object, you can additionally differentiate between organization types by using the following standard object types. If you are leveraging the supporting organization objects listed above, we recommend using the following types of Organization object:

  • External Organization
  • External Site
  • Internal Organization
  • Internal Site

We recommend using the standalone organization objects and the standard Organization object types listed above where applicable, rather than creating new object types on the Organization object or using a single Organization object type for different kinds of organizations.

Additionally, you can use the following related objects to manage organizations in conjunction with the Organization object and across the supporting organization objects:

  • Person: The Person object provides the standard Contact object type to store information about recognized contacts from partner organizations. You can add a Person related object section to any organization object layout in order to create a list of known contacts from that organization. If your organization uses the External Response Collaboration feature, only Persons associated with the type of organization selected on the External Collaboration Object Control configuration are available to select as external collaborators.
  • Qualification: The Qualification object stores information about an Organization’s qualification status, and lets your organization manage the qualification and requalification processes per your business requirements.
  • Quality events and documents: Almost all types of quality event records reference a type of organization, both in the merged Quality Event object and in standalone quality event object records such as Audits, Findings, and Change Controls. Many types of documents, especially those which are proprietary to specific contract organizations, also leverage references to organizations either as owners or consumer audiences. These reference links are often used to drive security and reporting configurations.
