Admins can configure Batch Release roles to control the assignment of eligible users to perform tasks during the disposition process. For example, a Batch Disposition record may require two (2) roles, an Owner and an Approver, to participate in workflows.
Users define these assignments directly from the Batch Release Execution page. They can select individual user assignments from a list of users authorized to perform that role on that record.
Admins can configure an eligible application role to constrain which users are available for selection, ensuring user eligibility using custom or matching sharing rules.
Admins can configure a field on the Batch Disposition object with the same name as a Batch object field so that Vault automatically copies the value over to the Batch Disposition upon its creation. This makes it easier to build matching sharing rules based on a Batch attribute, such as Manufacturing Site.
Configuration Overview
Complete the following configuration steps in your Vault to support the Batch Release role functionality:
- Create Quality Batch Role Assignments for each desired role.
- Navigate to Admin > Configuration > Pages, select the Batch Release Page, and add the desired role fields to the Batch Disposition Information section.
Creating Batch Release Role Assignments
To configure Batch Release roles for your Vault, you must define one (1) or more Quality Batch Role Assignments for each desired role on Batch Disposition records. Vault cascades disposition role assignments to their children Batch Disposition Checks.
To create Quality Batch Role Assignments:
- Navigate to Admin > Configuration > Quality Batch Role Assignment.
- Click Create.
- Enter a Label.
- Select Batch Disposition as the Object.
- Select a User Field from the drop-down. You may need to create a User type field on the Batch Disposition object, for example, Approver, so that it can be used here.
- Select an Eligible Application Role. This specifies which Application Role Vault uses to manage eligible users that can be selected for a particular role.
- Select an Assigned Application Role. This specifies which Application Role Vault assigns to a user in a particular role to grant them record permissions.
- Click Save.
Default Role Assignment
Upon creating a Batch Disposition record, Vault automatically populates the Owner field with the owner indicated on the Batch Disposition Plan only if the user is eligible, a Batch Release role configuration exists for that field, and no users are in the Assigned User Role for that record. If one (1) user is listed in the Assigned Application Role, Vault populates that user by default upon the creation of a Batch Disposition record. This overrides the default user setup in the Batch Disposition Plan. The assigned user must also have the Eligible Application Role if specified.
If Vault assigns more than one (1) eligible user to a particular role, the role field remains blank until roles are assigned on the record.
